Schedule of Condition Surveys

Prior to entering a commercial lease, it is important for tenants to fully understand the condition in which they need to return the property to the Landlord at the end of the proposed lease.

 

We prepare a Schedule of Condition that provides a record of the state of the property prior to lease commencement and to be referred to in, or appended to, the new lease. The value of a Schedule of Condition is often only realised at lease expiry when a Tenant will be served a Schedule of Dilapidations from the landlord detailing obligations to return the property to a specific condition and aids any dilapidations negotiations between the parties, or their appointed surveyors.

 

Schedules of Condition are also used to record the condition of a property that maybe impacted upon by nearby construction work (e.g., vibrations or ground movement). Unless a the pre-existing condition of a property is recorded, proving that damage has occurred can be challenging.

A timber remediation specialist assesses the condition of timber framing for decay, identifying areas needing replacement and retained areas for the application of preservative treatment. This service is often required when re-cladding a leaky building or for timber structures that have been exposed to the weather for extended periods of time.

 

Baywise assesses timber framing by using visual inspection, moisture testing, brashness testing (breaking), and laboratory analysis, drawing on our building remediation expertise.

 

We produce photographic site reports documenting the timber framing remediation process and a completion letter, which is submitted to the local council, to meet the conditions of the building consent.

Baywise act on behalf of Landlords and Tenants at all stages of the Dilapidations process. Our Reinstatement Assessment Reports help interpret repair or reinstatement liabilities, to minimise financial exposure prior to the termination or during the term of a lease.

Baywise provides independent technical assessments for both insurers and commercial policyholders. We investigate the cause and extent of damage to commercial assets, providing detailed remedial scopes of work for reinstatement. If a claim has been declined, we offer the professional expertise required to provide a technical review of the findings.

Maintenance Planning

Tauranga City Council accepts independent third-party building reports from Baywise for:

  • Unauthorised building work undertaken before 1 July 1992
  • Work completed under a building permit issued before 1 July 1992
  • Baywise inspects the work and reports if the work is Safe & Sanitary, if deemed so, the report can be lodged on the Property File as a public record.


A Third Party Report can also be lodged for:

  • Work that was exempt under Schedule 1 of the Building Act 2004 at the time it was done. (i.e. work that does not require a building consent, but meets the building code)


Baywise inspects the work and assesses if the building work is exempt from requiring a building consent and if it meets building code requirements. If so, the report can be lodged on the Property File as a public record.

Safe & Sanitary reports/ Third Party Reports

Every building is designed for a specific use and has to meet Building Code requirements that ensure it will be safe, healthy and durable when used in the way it was designed. 


If that use changes, the building may need to be altered to support the new use. Baywise can assist in assessing if a Change of Use has occurred and whether any upgrades are likely to be required by council.

Professional Sampling & Remediation Guidance

Undetected mould can pose a significant risk to building fabric and occupant health. We provide a professional, independent testing and advisory service to help commercial property owners and managers address these risks.


  • Targeted Sampling: We conduct on-site assessments and collect air or surface samples using specialised equipment to detect the presence of fungal spores.
  • Independent Laboratory Analysis: All samples are submitted to an independent, IANZ-accredited laboratory. The laboratory performs the scientific analysis and provides the formal findings regarding the types and concentrations of mould present.
  • Expert Advice: Once the lab results are available, we provide independent advice based on those findings. We help you understand the implications for your property and provide a practical plan for remediation or improvements to moisture control and ventilation
